Understanding AI Prompts – Five Key Focus Areas

Artificial Intelligence (AI) is a powerful tool that is transforming various industries, and content editing is no exception. The way we create and interact with content is being revolutionized by AI.  

While AI cannot replace your writer/editor and has its share of challenges, especially when it comes to nuanced editing, a compelling advantage is the enhanced efficiency and productivity you may experience. Using AI effectively can save you time and effort in editing and refining your content.  

To leverage the capabilities of AI content generation, however, you must use relevant prompts. Prompts are, essentially, instructions or questions that you input into an AI system to generate the content.  

Key Focus Areas 

Whether you are using AI to help you edit your content or write an email, an effective AI prompt can enhance the output. Here are five key areas to focus on when composing an AI prompt 

  1. Task 

The task represents the specific action or series of actions required to achieve the objective. The task instruction should be clear and direct for AI to generate the desired output.  

Examples could include “Summarize the learning objectives in chapter 5” or “Draft an email…”. 

While task is the most important part of a prompt, including your persona, audience, context, and format will help improve the effectiveness of your output.  

  1. Persona 

Defining your persona helps AI understand the tone, style, and perspective needed to craft a response that aligns with your specific needs. The persona refers to the role or identity you want to embody in the content—whether professional, casual, formal, humorous, etc 

For instance, you may choose to write from the perspective of: 

  • A knowledgeable business consultant offering strategic advice 

  • A friendly customer service representative assisting with a query 

  • An enthusiastic teacher explaining a concept to students 

  • A creative marketing specialist pitching a new campaign 

Specifying your desired persona helps AI craft content that matches the voice, style, and tone you want to convey.  

  1. Audience 

The target audience refers to the individuals for whom the content is being created. By incorporating specific details about the audience or their viewpoint, AI can more effectively tailor its response to meet your needs. 

  1. Context 

Context can include the purpose, background details, or specific information about the task, including any constraints or limitations. Providing relevant details helps AI deliver a more focused response. 

  1. Format 

Format refers to the style, structure, and type of output. This includes guidelines about how the content should be organized, its tone, and its length. Clearly specifying the desired format allows AI to tailor its output effectively—whether you need a concise email, a detailed blog post, an image in PNG format, or any other form of content. 

Example: 

Using the same scenario throughout, the following example demonstrates how a prompt becomes increasingly effective as each new focus area is incorporated. 

Task: 

Write an email inviting a colleague to the kickoff meeting for the new PLM documentation project. 

Persona: 

As a project manager, write an email inviting a colleague to the kickoff meeting for the new PLM documentation project. 

Audience: 

As a project manager, write an email to a team member inviting them to the kickoff meeting for the new PLM documentation project, ensuring the tone is professional and friendly. 

Context: 

As a project manager, write an email to a team member inviting them to the kickoff meeting for the new PLM documentation project. The team member is new to the company and unfamiliar with the project goals, so summarize the project description provided above and add a brief overview of the project in your email. 

Format: 

As a project manager, write an email to a team member inviting them to the kickoff meeting for the new PLM documentation project. The team member is new to the company and unfamiliar with the project goals, so summarize the project description provided above and add a brief overview of the project in your email. Format the email with a clear subject line, greeting, and body.
